3. RFQs & Quotations

  • RFQs (Requests for Quotation) must include accurate product requirements, quantities, destination, and timelines.
  • Quotations are typically indicative unless confirmed by a proforma invoice (PI) or a signed supply contract.
  • Hanar Sourcing may request clarifications, documents, or technical specs before issuing a final quote.

4. Pricing & Currency

  • Displayed prices (if any) may be indicative and subject to change based on quantity, specs, certifications, and shipping terms.
  • Currency may be quoted in USD, EUR, or other agreed currency depending on supplier and destination.
  • Taxes, duties, customs fees, and local charges are the buyer’s responsibility unless explicitly agreed otherwise (e.g., DDP terms).

5. Customization (OEM/ODM)

Customizable products (OEM/ODM) may include branding, packaging, materials, dimensions, voltage/standards, and other modifications. Custom orders typically require confirmation of specs, samples (where applicable), and a production timeline.

  • Custom orders may involve non-refundable sampling, tooling, or setup costs.
  • Final specs must be locked in writing before production starts.
  • Buyer is responsible for ensuring any required certifications/standards in the destination market.

6. Overstock & Ready Stock

“Overstock” or “Ready Stock” refers to limited-quantity items that are already produced and available for quick dispatch. These items may originate from surplus production, cancelled orders, end-of-line models, or factory clearance.

  • Limited quantities: Availability is first-come, first-served and may change rapidly.
  • Specifications: Usually fixed. Customization is limited or unavailable unless stated.
  • No repeat production: Many overstock items cannot be reproduced.
  • Condition: Items are typically new unless explicitly stated otherwise.

7. Orders & Contracts

Orders become binding only when confirmed via a supplier’s proforma invoice (PI), purchase order acceptance, or a signed supply agreement. Any amendments to specifications, quantities, or timelines must be confirmed in writing.

For project supply, we strongly recommend using written acceptance documents that lock specifications, Incoterms (FOB/CIF/DDP), lead times, and inspection requirements.

8. Payments

  • Payment terms may include T/T (bank transfer), LC (letter of credit), or other agreed methods depending on supplier policy.
  • Deposits are commonly required to start production. Balance is typically due before shipment unless agreed otherwise.
  • Banking fees and intermediary charges are borne by the payer unless stated differently.

9. Shipping & Delivery

Shipping terms (Incoterms) such as FOB, CIF, and DDP must be agreed in writing. Delivery timelines are estimates and may be affected by production schedules, port congestion, customs processes, and force majeure events.

  • Risk transfer: Depends on agreed Incoterms and shipping documents.
  • Insurance: Recommended for international shipments; scope depends on the term used (buyer/seller responsibility).
  • Customs: Buyer is responsible for import compliance and customs clearance unless agreed under DDP.

10. Quality & Inspection

Quality assurance may include supplier checks, sample confirmations, and optional third-party inspections (pre-production, during production, or pre-shipment). Inspection scope and standards must be agreed in advance.

  • Inspection reports reflect observed conditions at the time of inspection.
  • Claims for damage in transit should be directed to the carrier/insurance with supporting evidence.
  • Any defects or non-conformities must be reported promptly with clear documentation.

11. Compliance & Restricted Trade

Buyers must comply with all applicable laws, regulations, and trade restrictions in their jurisdiction, the supplier’s jurisdiction, and the shipment route. Hanar Sourcing may refuse service where compliance risks exist, including sanctions, restricted items, or incomplete documentation.

12. Intellectual Property

All website content (texts, images, graphics, brand elements) is owned by Hanar Sourcing or its licensors and is protected by applicable intellectual property laws. Unauthorized reproduction, scraping, or redistribution is prohibited.

13. Liability

To the maximum extent permitted by law, Hanar Sourcing shall not be liable for indirect, incidental, special, or consequential damages, including loss of profits, delays, or business interruption arising from use of the website, quotations, or supplier performance—except where explicitly agreed in a signed contract.
